Who we are

ROH Tutoring, LLC (“we,” “us,” “our”) operates this website and related tutoring services, based in California. This Privacy Policy explains what personal information we collect from visitors and users of our website and services, how we use and protect it, and how you can access, correct, or delete it.

A note on children's privacy

Our students range in age from 5 to 18, and many are under 13. Students and parents do not create accounts or passwords on our website. Information about the student is provided by a parent or legal guardian, through our booking form, our enrollment form, or by email. Enrolled students also use our student portal (described below), where they write on practice pages and may upload photos of their homework, as part of the tutoring their parent enrolled them in. By providing the student’s information and completing enrollment, the parent/guardian gives verifiable consent, as required under the Children’s Online Privacy Protection Act (COPPA), for us to collect and use the child’s information as described in this Policy. We do not knowingly collect personal information directly from a child without this parental consent, and we do not require a child to disclose more information than is reasonably necessary to receive services.

Information we collect

From the parent/guardian, when you book a call or enroll:

  • Name, email address and phone number
  • Invoice and payment records. Invoices are sent and paid through Found, our business banking and invoicing provider; we never see or store your card or bank account numbers
  • Scheduling information you provide through our booking tool (FluentBooking), including preferred session times and booking history. We use the email on a booking to match it to your student’s schedule in our records

About the student, provided by the parent/guardian:

  • First name, age or grade level, subjects/areas of need, and school (if provided, for curriculum context only)

Generated through use of our services:

  • Session attendance and scheduling records
  • Tutor notes and progress observations
  • Results from practice pages and assessments your student completes with the tutor
  • Work in the student portal: what the student and tutor write on practice pages, which pages are finished, medals earned, and any homework photos uploaded
  • Session reports: attendance, what went well, what was tricky, notes for the parent, and the tutor’s private notes

Automatically collected technical data:

  • Device/browser type, IP address, pages visited, and similar technical data, collected via standard website analytics and security tools, for site functionality, security, and improvement

How we use this information

We use the information above to: schedule and deliver tutoring sessions (including through FluentBooking and our student portal); track academic progress and share tutor notes and progress reports with parents; send invoices and issue refunds; communicate with you about scheduling, billing, or your child’s progress; maintain the security and functioning of our website; and comply with legal obligations.

We do not use student information for targeted advertising, and we do not sell student personal information to third parties.

The student portal

  • Private link, no login. Each student’s portal page opens with a private link that we send to the parent. It has no password and asks for no personal information. Anyone who has the link can open that page, so please keep it private, like a meeting link. If a link is shared by mistake, tell us and we will turn it off and send a new one.
  • What the link is used for. The private link’s code identifies the student’s page. We use it only to show and save that student’s work. It is never used for advertising, to build a profile, or to contact anyone.
  • Who can see the work. The student, the parent, and ROH Tutoring staff. A tutor sees only the students assigned to them, and only for tutoring.
  • Not public. Portal pages are hidden from search engines. Homework photos are stored in a private folder on our website server and are shown only through the student’s private link. Please make sure photos show only the schoolwork, not your student’s face, full name or school.
  • Where it is stored. Portal work is stored on our own website, hosted by Hostinger. It is not sold or shared with advertisers.
  • When a student stops. We turn off the student’s link. Practice work and homework photos are deleted 6 months after the student’s last session; progress records are kept as session notes for the period in our Consents & Intake form, unless you ask us to delete them sooner.

Legal bases and your rights

For all users: You may at any time request a copy of the personal information we hold about you or your child; correction of inaccurate information; deletion of your (or your child’s) information; or that we stop using your information for any purpose beyond delivering our services. Parents and guardians can also review the personal information we have collected from their child, have it deleted, and refuse to let us collect or use any more of it (if you do, we may no longer be able to provide the portal or tutoring). Email hello@rohtutoring.com. We will respond within a reasonable time, generally no more than 45 days.

California residents: California law provides state residents with rights regarding access to, deletion of, and correction of personal information, and protection from discrimination for exercising these rights. We honor these rights for all users as a matter of practice. We do not sell or share personal information for cross-context behavioral advertising.

European Union / UK visitors (GDPR): ROH Tutoring is based in and operates primarily for families in the United States and does not intentionally direct our services to residents of the European Union or United Kingdom. If you are located in the EU/UK and choose to use our Site, you may contact us at hello@rohtutoring.com to exercise rights under the GDPR, including access, correction, deletion, or restriction of your data, and we will make reasonable efforts to accommodate such requests.

Third parties we work with

  • Found: invoicing and payment — parent name, email, invoice amounts; card or bank details are entered only on Found’s secure payment page
  • Zoom: live session hosting (video, screen share, whiteboard) — parent/student first name, session participation. Sessions are not recorded, and no transcripts or AI note-takers are used, unless the family opts in
  • FluentBooking: appointment scheduling — parent name, email, phone, scheduling preferences and history
  • Hostinger: website hosting. Our website and student portal run on Hostinger’s servers, so the information we keep on our site (including portal work and homework photos) is stored there

We require these providers to protect your information and use it only for the purpose we’ve engaged them for, and we do not permit them to use student data for their own advertising purposes. We also use standard business software, such as email, file storage, spreadsheets and administrative tools, which handles information only on our behalf to run ROH Tutoring.

Google Analytics (Google LLC) and Microsoft Clarity (Microsoft Corporation): website analytics, used only if you accept them in our cookie banner. They receive information about your device and how you use our site.

Cookies and analytics

We use a few essential cookies to run the site and the booking calendar, for example to remember your cookie choice and your time zone.

Only with your permission, we also use Google Analytics, to count visits and see which pages are useful, and Microsoft Clarity, which records clicks, scrolling and mouse movement so we can find confusing parts of the site (it is set to hide what you type in the booking form). These stay off unless you choose Accept in our cookie banner or allow each one separately under Preferences, and you can change your choice at any time with “Cookie preferences” at the bottom of every page. While analytics consent is off, Google Analytics may receive limited signals without cookies.

Global Privacy Control and Do Not Track. If your browser sends a Global Privacy Control (GPC) signal, we treat it as your decision to decline these analytics cookies. We do not otherwise respond to “Do Not Track” signals, because there is no common standard for them, but optional analytics stay off unless you accept them.

We do not use these technologies for advertising or to build advertising profiles of children. Our Cookie Policy lists each cookie we use.

How we protect your information

We use commercially reasonable measures to protect information we hold, limit staff access to those who need it to provide services, and work only with third-party providers who maintain their own security standards. Student portal links are long random codes that can’t be guessed, and each one opens only that student’s work. Tutor accounts can open only the students assigned to them. No online service can guarantee perfect security.

Data retention

We keep information only as long as we need it for the purpose we collected it for, then delete it. Children’s information is never kept indefinitely. Our retention schedule:

  • Practice work in the student portal and homework photos (so the student and tutor can look back at recent work): deleted 6 months after the student’s last session.
  • Session notes and reports, including which portal pages were finished (to track progress and answer questions about past sessions): kept during enrollment and for 2 years after the student’s last session.
  • The Enrollment Agreement and Consents & Intake, with the record of your acceptance (proof of the agreement and of your choices): the length of enrollment plus 4 years.
  • Invoices and payment records (required for taxes): 7 years.
  • Families who book a free call but never enroll: deleted 12 months after our last contact.

We keep information longer only if there is an open complaint, dispute or safety concern, until it is resolved. You can ask us to delete information sooner at any time.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated to parents by email before taking effect. Continued use of our services after such notice constitutes acceptance of the updated Policy.
